Define the question and the recipient
Start with one sentence explaining the purpose, such as comparing two possible object types for a class project. Include the record number and a concise description, not an inflated title that treats a tentative attribution as settled. Choose photographs that answer the question and give each a clear label. A recipient reviewing decoration may need a different detail from someone checking an inscription. Do not assume that a large bundle of unlabeled images communicates more than a small organized selection.
Keep sources next to claims
Separate direct observation, label text, a reference comparison and an AI suggestion into named sections. Include source links or document identifiers and preserve words indicating uncertainty. If you share a raw data export, explain any field names or abbreviations that would be unclear outside your own workflow. Check the sharing choices offered by the installed app; this guide does not assume that every note or image is included automatically in every export format.
Make the handover easy to continue
Add the date of the summary, the specific unanswered question and the next evidence you would find useful. Keep a copy of the version sent so later revisions do not erase the context of a reply. Remove personal information unrelated to the research question and keep the relevant source attribution. Invite a correction to a particular claim rather than asking someone to approve the whole story. A careful handover makes collaboration possible even when the most honest conclusion remains unknown.
